REQUIRED REGISTRATION

  • California Employment Development Department

    Note: The California Employment Development Department handles all employment taxes for the state, so you'll receive a single EDD ID number for all your CA employment taxes.

 

REQUIRED INFORMATION

 

REGISTERING FOR STATE UNEMPLOYMENT AND INCOME TAX

You will need to apply for an EDD number. Visit here Employers tab, to register.  

Once registered, you will receive an 
Unemployment Account Number, an Unemployment Rate (%), and Withholding Tax Account Number (called “EDD Number”) which you will need to enter into Namely Payroll under Company > Tax (UI & WH tax). 

An
 EDD number is an eight digit account number that is used to pay and file your company's California state taxes with the California Employment Development Department. Those taxes include personal income tax (PIT), state disability insurance (SDI) and state unemployment insurance (SUI).

If you filed California payroll taxes before, your 
EDD account number can be found on any California quarterly tax return with the name DE-9 or DE-9c. The number must be in the following format: XXX-XXXX-X.

POWER OF ATTORNEY FORMS

Please note, Namely does not require a Power of Attorney for this state at this time. It is not required to file or remit payments on your behalf. If one is needed to resolve a tax matter, the tax notice team will request one from you at that time.

If a Power of Attorney is requested from you, you should email completed copies of the forms 
namelyPOA@Namely.com with the CID in the subject line for processing. We will update our system and maintain a copy of each form for record-keeping purposes

STATE INCOME WITHHOLDING FORMS

Namely uploads Federal and State W-4 documents to your HRIS site for use during onboarding, or if you need to send W-4s to employees who need to make withholding adjustments. 

TIP:

The most up to date W-4 documents can be found in the Namely section of the Document dropdown menu in Onboarding and Manage eSignature

Form Name: DE4

Accepts Federal W-4: Yes

Comments: Each employee must complete either federal Form W-4, Employee's Withholding Allowance Certificate, or the equivalent state Form DE 4, Employee's Withholding Allowance Certificate, to indicate marital status and dependent or other allowances claimed. The W-4 can be used for both federal and state withholding purposes, but under withholding of state tax can result. The filing of the DE 4 allows an employee to claim different marital status and allowances for state and federal purposes. If an employee files a DE 4, the employer is obligated to use that form to calculate state withholding.
